GENERAL INFORMATION

💡 The cheapest and fastest way to request certificates is through self-service portals.

The requested extract or certificate will be ready within one week if all data in the Estonian Population Register is up to date.

⚠️ If deficiencies in the applicant’s personal data are discovered during the process, the document will be issued after the deficiencies are corrected.

The completed document can be received by mail or picked up in person.

💡 The Embassy sends documents to clients via regular mail. If you prefer courier service, please send a prepaid, printable address label to the Embassy’s email: [email protected].

💡 Certificates issued at the Embassy are valid only within the USA.

✅ Ordering documents via self-service portals:

📌Certificate of ancestors’ Estonian citizenship

  • A certificate of ancestors who lived or were born in Estonia between 1920–1940 can be ordered from the Estonian National Archives.

📌Vital statistics certificates (birth, death, marriage, divorce, name change)

💡 Please write your U.S. address in the remarks field of the e-application.

📌Criminal record certificate

  • See information on the website
  • Can be requested electronically (ID card, Mobile-ID, or Smart-ID) or via email.
  • To order by email: complete and digitally sign the application, then send it to [email protected].

📌Certificate of life status for Social Insurance Board for pensions:

⚠️ The Embassy does not issue this certificate.

  • In the USA, it can be obtained from the police or public notary.
  • It must be signed by a competent authority.

Alternatively, contact the Estonian Social Insurance Board via Skype:

  • Search for Elusolekutõend (live:.cid.b5bcbdf84f39b635)
  • Mon-Thu 9:00 – 16:30, Fri 9:00 – 13:00 (Estonian time; USA Eastern Time is -7 hours, Pacific Time is -10 hours).
  • Webcam and ID are required.

📌Criminal record certificate

💡 Cannot be ordered from the Embassy.

  • Request by mail: Karistusregister, Lubja 4, 19081 Tallinn, Estonia.
  • Personal inquiries from the Criminal Register are free of charge.

🛂 The consul can provide an English translation based on the original Estonian certificate.

📌Vital statistics certificate (birth, death, marriage, divorce, name change)

💡 Can be requested by the person concerned or their representative.

Required documents:

  • Printed, completed, and signed application form
  • Copy of passport or ID card
  • State fee (check addressed to Embassy of Estonia in Washington DC, if the application is sent by mail)

💡 In the Embassy, the payment can be made only by card (American Express is not accepted) or contactless payment.

📌Certificate of facts known to the consul

🛂 The consul can issue a certificate based on data from Estonian state registers or other official Estonian documents.

Required documents:

  • Printed, completed, and signed application form (digital signature also accepted)
  • Copy of passport or ID card
  • State fee (check addressed to Embassy of Estonia in Washington DC, if the application is sent by mail)

💡 In the Embassy, the payment can be made only by card (American Express is not accepted) or contactless payment.

📌 Certificate of legal capacity to marry

  • Issued provided the applicant’s data in the Estonian Population Register is up to date.

Required documents:

  • Application form
  • Copies of both spouses’ passports
  • The certificate is valid for 6 months from the date of issue.
  • State fee (check addressed to Embassy of Estonia in Washington DC, if the application is sent by mail)

 

✅ INFORMATION ON OTHER CERTIFICATES

📌Certificate for sealing an urn or coffin

  • Issued by a licensed funeral office handling the repatriation.
  • The consul registers the death in the Estonian Population Register based on a death certificate authenticated with an apostille.
